The night audit, demystified: what your PMS should do while you sleep

Every hotel closes its day. The only question is whether a person stays up to do it — or a system does it right, every night, unsupervised.

The night audit is hospitality’s oldest ritual: reconcile everything that happened today, lock it, and roll the hotel into tomorrow. In many independent properties it is still a person with a calculator in the middle of the night. It deserves demystifying, because it is the clearest test of whether your PMS keeps your books or only draws your calendar.

What the audit actually does

  1. Reconciles every folio. Room charges posted for all in-house rooms, restaurant charges attached, payments matched. Discrepancies surface tonight — not at checkout in front of the guest.
  2. Handles the exceptions. No-shows charged or released, due-outs resolved, day-use closed, unpaid balances flagged.
  3. Locks the day. Totals — revenue by department, tax collected, payments by mode — freeze into an immutable record. Yesterday can’t be edited quietly afterwards; this lock is where audit trails begin.
  4. Rolls the business date. Tonight becomes yesterday; tariffs post for the new day; occupancy and ADR snapshots are recorded for history.
  5. Writes the flash report. Occupancy, ADR, RevPAR, collections, arrivals — the one-pager an owner reads over breakfast.

Why the night audit matters more in India

The day lock is what GST filing leans on, and it is the job a hotel PMS should close by itself. Your monthly sales register is the sum of locked days; if days stay editable, your register and your invoices can disagree — the exact mismatch a GST notice is made of. An audit that captures CGST/SGST correctly every night makes month-end a download instead of a reconstruction.

The automation test

A modern PMS should run all five steps unattended and wake a human only for genuine decisions — an unpaid folio, an unresolved due-out. Automated, the work leaves the night shift entirely: the system closes the day on its own, and the morning job is reading the flash report and clearing whatever it flagged. Ask one question of any system you’re evaluating: “What exactly happens at day close, and who has to be awake for it?” The answer tells you whether the system keeps your books or leaves that to your staff.
