A guest walks up to the desk and says, "Same room as last winter, please." The receptionist types the name, and three profiles come up, spelled three different ways. None of them says which room. The guest waits while the desk guesses. This post shows what a good guest record holds, how to keep it clean, and how it pays you back.

A good guest record answers five questions

Think of a guest record as what your best receptionist would remember, written down so that every shift knows it. A good record answers five questions before the guest reaches the counter.

The questionWhat the record holdsWhy it pays
Who is this?Name, phone and email, plus company and GST number for business guestsThe invoice carries the right name and GST number the first time
Have they stayed before?Every stay, with dates, room type, rate and how they bookedYou can greet them by name and offer the room they liked
What did they spend?Room and restaurant spend across all their staysYou know who has earned a free upgrade on a quiet night
What do they like?A quiet floor, extra pillows, vegetarian meals, early breakfastSmall touches happen without asking the guest again
Should the desk know anything?Staff notes and any warning flagA problem is seen before check-in, not after

In ZimmerStack, the owner's admin app shows a guest's history across all your properties. You see every booking and every restaurant bill, with amounts. The PMS keeps a guest directory of everyone who has ever stayed, with their total bookings.

Keep one profile per guest, keyed by phone number

Duplicate profiles quietly ruin a guest list. The same man becomes "R. Sharma", "Rahul Sharma" and "Rahul S". Each copy holds a slice of his history, so none of them holds the truth. His spend looks smaller than it is, his preferences go missing, and a warning on one copy never shows on the others.

A name makes a poor key, because people spell names differently. A phone number works better. It usually belongs to one person, and it doesn't change with spelling.

  1. Ask for the phone number first. Before the name, before anything else. Read it back to the guest to check it.
  2. Search before you create. If the number is already there, use that profile.
  3. Let the system fill in the rest. A found profile should fill the name, company and address, so nobody types them twice.
  4. Replace masked OTA numbers at check-in. Some OTAs pass on a masked number. Take the guest's real number at the desk and update the record.
  5. Clean up once a month. Search your most frequent guest names and fix any copies you find.

In the ZimmerStack PMS, typing a phone number into a new booking finds the existing guest and fills in the empty fields. It never overwrites what the receptionist has already typed.

The registers the law expects

Some records are not optional. If you host a paying foreign guest in India, you must report the stay to the Bureau of Immigration through Form C. The deadline is 24 hours from check-in. The report asks for passport and visa details, arrival details and the dates of the stay. Our Form C and FRRO guide explains who files it, when and how. The Form C worksheet lays out the fields in the order a desk collects them.

The easy way to miss the clock is a late arrival. The night desk checks the guest in, the paperwork waits for the morning, and the morning shift doesn't know it's waiting. So the Form C details, and whether the form was filed, belong in the guest's record.

The ZimmerStack PMS keeps a foreign guest worklist of Form C details still to collect. Its Form C register shows each form as filed, pending, overdue or due a departure update. Staff still file on the government portal, then paste the acknowledgement number back into the record.

Your state or local police may also want their own guest register. What they ask for varies by place, so check with them directly. The free guest registration card is a printable starting point.

Collect less, and guard what you keep

A guest record is personal data, and guests trust you with it. Collect what the stay and the law need, and stop there. Every extra detail you keep is one more thing to protect.

  • Every staff member has their own login. Nobody shares a password.
  • Each login sees only what that person's job needs.
  • Guest details never sit in a personal chat on a staff phone, or on a loose sheet at the desk.
  • When someone leaves, their access ends the same day.
  • Notes are facts you'd be comfortable reading aloud to the guest.
  • A warning flag carries a reason and a date, and only the owner or manager adds one.

That last point matters. A warning flag protects the hotel from a guest who damaged a room or left without paying. It should never become a place for gossip. In ZimmerStack, a booking for a phone number on your blacklist brings up a warning at the desk. The warning shows the reason and the date the name was added. It appears whether the desk made the booking or it arrived from an OTA. At check-in, the PMS stops and asks the desk to confirm before it goes ahead.

Returning guests are your cheapest bookings

A clean history pays back most when a guest returns. They already know your rooms, your food and your staff. If they book through an OTA again, you pay commission on a guest you had already won.

What one direct rebooking keeps
Room rate × nights × OTA commission = commission kept

Worked example

100 returning stays a year

In this example, a hotel sells a room at ₹3,000 a night. A returning guest stays two nights and would otherwise book through an OTA at 18% commission.

  • One stay through the OTA: ₹3,000 × 2 × 18% = ₹1,080 in commission.
  • The same stay booked direct: ₹0 in commission.
  • 100 returning stays a year moved to direct: 100 × ₹1,080 = ₹1,08,000 kept.

Your rate, your commission and your number of returning guests will differ. The OTA commission calculator runs the same sum on your own figures.

The record is what makes the ask possible. At checkout, the desk can see that this is a guest's third stay. They can thank the guest for it and invite them to book on your website next time. That invitation only works if your website really is the cheapest place to book, so check your rate parity first. Before your busy season, a short message to past guests reaches people who already liked you. The direct booking playbook covers the rest.

A guest who has to repeat themselves feels like a stranger, even on their fifth stay.

What to do this week

  1. Search your ten most frequent guests and count how many have more than one profile.
  2. Make the phone number the first field your desk fills in for every booking.
  3. Add one useful note to the profile of each guest in house today.
  4. If you host foreign guests, check that every Form C from last month has its acknowledgement number.
  5. List every place guest details live outside your system, like staff phones or old registers, and close one of them.

सीधे हमसे पूछें →
What should a hotel guest profile include?

Name, phone number and email, every past stay with dates and room type, what the guest spent, preferences, staff notes and any warning flag. For foreign guests, add the passport and visa details that Form C asks for.

How do hotels avoid duplicate guest profiles?

Use the phone number as the key. Search by phone before creating a profile, and let the system fill in the rest from the record it finds instead of typing it again.

Do hotels in India have to report foreign guests?

Yes. A hotel that houses a paying foreign guest must report the stay to the Bureau of Immigration through Form C. The deadline is 24 hours from check-in, and the hotel files it on the government portal.

Should a hotel keep a list of problem guests?

If you keep one, keep it factual. Write down the reason and the date, limit who can add a name, and make sure the desk sees the warning before check-in.

How does guest history help direct bookings?

A returning guest already trusts you. If you know their stays and their phone number, you can invite them to book on your own website next time. Then the OTA commission stays with you.
